Meeting September 11, 2006

Minutes:
The minutes of the previous meeting were approved.

Director’s Report:
The director’s report was approved.

Kelly also reported that she would be speaking with Jodi to check to see if library employees must have CORI checks. She also mentioned that the Lunenburg director resigned, and the Leominster library project may need more money.

Book Fines:
The library currently does not charge for overdue books. A postcard is sent when books are overdue. When the book is overdue for more than 30 days, a bill is sent to cover replacement costs for the item. This usually results in the borrower returning the item, at no cost. Between 10 and 20 of these bills are sent out each week, resulting in extra work for the library staff. One particular repeat offender has 13 items that are more than 30 days overdue. Kelly asked the board to consider charging a non-refundable fee for each bill sent. The board voted to charge a fee of between $3 and $5 per bill. When a patron accumulates fees of more than $10, their borrowing privileges are suspended. If this turns out to generate revenue for the library, we may need to look into establishing a revolving account.

Resignation:
The board voted to accept Alana Dunn Clarke’s resignation. Kelly will post a vacancy notice.

September 27th meeting:
Bob spoke with Ken Troup. Ken is widening the invitation to the meeting. At that meeting we will be discussing cash flow, acceptance of pledges, zoning issues, and the construction committee.

Construction Committee:
The Trustees will advertise for citizens interested in serving on the construction committee. The emphasis will be on a well- rounded committee. Candidates will be provided with a copy of the charter. It was proposed that the interview committee be comprised of the library trustees, one member of advisory committee, and one selectman.

Capital Campaign:
The Friends capital campaign committee is meeting weekly. Numerous neighborhood gatherings have either taken place, or are planned for the near future. The Friends are soliciting items for an on-going E-Bay auction. The CashorCamry raffle is going well, an Authors’ Day with 10 children’s book authors in attendance to sign books, along with a raffle of custom book baskets, and a silent auction of original childrens’ book artwork, and sales of collectible miniature depictions of the Bolton Library and a pie sale will take place on October 21st. There will also be a community day at O’Naturals in Acton on November 21st, where 10% of the evening sales will go to the Friends of the library.

Next Trustees’ meeting scheduled to take place at 6:30pm on Tuesday, October 10th.
